HANOVER TOWNSHIP

SPECIAL EVENTS COMMITTEE

MINUTES 2/20/02

Members Present: Natalie Miller, Irv Good, Michelle Mill, Debbie Marshall, Susan Lavelle, Mary McCornac

Called to order at 7:35 p.m. by Natalie Miller

Irv Good made a motion to approve the minutes from the 1/16/02 meeting. Natalie Miller seconded it and all others approved.

Cathy Heimsoth will find out what weekend the Moravian Church will have their Christmas Tree Lighting this year. The SEC does not want to interfere with their date. Our Holiday Tree Lighting will follow the churches. Date will be set next month. Cathy has agreed to let us use HTCC in case of rain for Community Day.

The cost of the John Philip Sousa Concert will be much higher than originally proposed.

Westgate Mall will be a co-sponsor with the SEC. Programs will be printed in house and advertising will be done through a variety of free venues and with sponsors so that we can lower the cost. Discussed having a Korean War dedication at intermission to remember the 50th anniversary. Motion to include Sousa Concert in SEC venue and budget made by Natalie Miller. Seconded by Michelle Mill. All others approved.

Michelle and Natalie discussed the progress of current donations and sponsorships for Community Day, Halloween Parade/Party, and the Holiday Tree Lighting. Fundraising will continue with letters to businesses in the township. Westgate Mall, Linda Marlow and the Thomas E. Michael Insurance Agency will all be major sponsors in this years events.

Natalie Miller recommended that all letters be sent through the secretary (Mary McCornac) so that they are all uniform and we have a copy on disc. Mary will return work to original author for signature.

Motion to approve by Mary McCornac, seconded by Susan Lavelle. All others approved.

Discussed the different items we are planning to have for the Community Day on May 25th. Community Day games and equipment will be reserved this week. Proposals for deposits will be brought directly to the Township office. The Burn Prevention/Fire Safety House has been reserved for the day. Fire Department will have to oversee the display and education of the event. Susan Lavelle agreed to start the work on a map as to where each activity center will be located. Deb Marshall will work on the portable stage for the live band. Irv will get quotes on porta-pottys. We will contact fire police for parking on Community Day. Many events will be free at Community Day but we need to implement a safe and easy way to handle the money for the food and donation events.

Discussed the advertising opportunities available to the committee. PSA’s and Press Releases must be started next month for all of the events. Information on SEC events will be submitted to the Hanoverview by 4/15/02. Need to update website information. New information will be sent to Mike Prendeville this month. Motion to approve made by Natalie Miller, seconded by Mary McCornac. Approved by all.

John Finnigan will be working with the SEC to earn his Eagle Scout Badge. John will be making arrangements and doing work involved with the first Holiday Tree. Location for the tree will be discussed at our next meeting.

Motion to approve made by Michelle Mill and seconded by Debbie Marshall. All others approved.

Deb Marshall, Irv Good and Susan Lavelle will be working to get more volunteers from the community. Mary McCornac will have an informational letter ready for their use this month. We will invite local churches and community service kids to help us with our plans.

Motion to adjourn by Natalie Miller, seconded by Mary McCornac.
