SPECIAL EVENTS COMMITTEE
MINUTES OF MEETING 3/20/02
Members Present: Natalie Miller, Michelle Mill, Debbie Marshall, Mary McCornac
Called to order at 7:40 p.m.
- Natalie Miller made a motion to accept the minutes from the 2/20/02. Michelle Mill seconded it and all others approved.
- John Finnigan made a presentation for his Eagle Scout Project which will consist of landscaping an area and planting the holiday tree as well as putting in a flag pole and lighting. Natalie Miller made a motion to accept his project. Debbie Marshall seconded it and all others agreed.
- Had a brief discussion regarding the John Philip Sousa Concert. Natalie is trying to get more information regarding the designing of the program, etc.
- There was a discussion regarding using both tickets and money for Community Day. We discussed all games and entertainment we have thus far for Community Day as well as the donations and prizes we have obtained. Hanover Township Community Center has agreed they will be selling T-shirts at Community Day in lieu of food to raise money for the center. All selling of food will be done by the special events committee.
- Natalie is still waiting to hear from the Hanover Township Fire Company regarding their desired involvement in Community Day. She has offered ideas for fundraising to benefit the fire company itself. She has also been able to obtain the Burn Prevention/Fire Safety House but needs the fire dept.’s confirmation that they will run it on Community Day. She cannot sign the agreement for the Safety House until the fire department agrees to run it since it must be run by a fire department.
- Discussed the need for a parking plan and plot plan as far as where everything will be located. Also need a time management plan to establish when everything will take place on Community Day.
- Debbie Marshall will contact more people to try and get more volunteers. Group discussed making up a volunteer flyer to be delivered to schools so people can sign up. We are hoping to get a lot of community service students. Had further discussions about Community Day and agreed that this committee will have to meet informally more than once a month in the coming two months so we can plan and organize Community Day activities.
- Discussed the Halloween Parade briefly. Need to get more ideas as to who we would like to see in the parade. We need to work on more food donations.
- Holiday Tree Lighting will be 12/7/02 as to not coincide with the Moravian Church’s tree lighting.
- Letters will go out this month to more businesses for donations and to other organizations regarding parade involvement.
