Special Events Committee

Minutes 5/15/02

Members Present: Natalie Miller, Irv Good, Michelle Mill, Susan Lavelle, Rose Miller, Mary McCornac

Called to order at 7:30 p.m. by Natalie Miller.

Michelle Mill made a motion to approve the minutes of the last meeting - 3/20/02.

Rose Miller seconded and all others approved.

The Sousa Concert was a success! Attendance was put at 400+. John Stoffa has received commitments from both bands to return again next year.

The Korean War 50th Anniversary Committee would like to play a special part in next years performance. Natalie is working with the Veterans Admin. and the Anniversary Committee. A special notice will be included in the Hanoverview looking for Veterans from the Korean War that live in the Township or whose families do. These Veterans will receive a special certificate or plaque commemorating their service to our country at next year’s concert.

Mary McCornac reported that she has already sent out a thank you letters to:

Wegmans for providing the trays of homemade cookies.

Tanczos for providing all of the punch, soda and pretzels.

Westgate Mall for co-sponsoring the event with the SEC.

A thank you will also be sent to HTCC and Cathy Heimsoth for the support and manpower they provided that helped make the concert a great success.

Bills for the bands were submitted for payment.

The programs were designed and printed in house to save printer costs.

Family Fun Day:

The volunteer list is still being worked on. Natalie will complete a schedule of workstations before the event.

3. A list of checks needed for the day of the event has been made and submitted.

4. A list of pick up dates, times and locations has been made and submitted.

5. A site plan has been made and submitted for set up. Map includes areas for stage, Pepsi wagon, dunk tank, bungee run, sumo suits, ticket tables, all outdoor games, signs, food and the Police and Fire Departments.

6. Frank Almer of the Hanover Fire Police has been contacted and has agreed to control all parking.

7. The Fire Dept. has been trained and has agreed to pick up the Burn Prevention House the day of the event.

Mary McCornac made a motion to add the discussion of Community Spirit Sponsors to the agenda. Seconded by Susan Lavelle. All others approved.

There have been several new Community Spirit Sponsors added to this year’s list. Natalie made note that the money donated by these sponsors will pay for:

-The items that were not sponsored at Family Fun Day such as porta-potties, supplies, prizes, tickets, food, etc...

-Parade participants that require a donation or payment to be in the event, examples: the Shriners require a $300 donation which they in turn use for their charitable work, school bands require at least $100 each that they use for uniforms and equipment.

The Party after the parade will, for the most part, be sponsored. Westgate Mall has agreed to sponsor the Magician, Wegmans has agreed to supply hotdogs, etc... Some of the items not sponsored will also be paid for with this money.
